You’ll only be able to delete an employee if you have not run payroll for them and they also do not have any payroll history entered in the software. If you have any type of transactions with the employee, you will not be able to delete them and will not see an option for this. You will need to “Inactivate” the employee instead. Removing an employee eliminates his or her ability to clock in and out. After the employee is removed, you will still be able to access the deactivated employee’s time cards. You can also restore an employee's profile if you need to. Removing an employee from OnTheClock does not permanently delete the account.

Using the method above will place your employee on an inactive list. If you'd prefer to permanently delete an employee from your account, please see permanently deleting an employee. If you deactivated an employee by mistake or need to reactive the employee so he or she can track time again, please see Restore/Reactivate an Employee. Once an employee is removed from your active employee list, you can no longer filter by his or her name in time cards. You can only see the employee's time cards within the pay periods he or she worked. At MyHR, we’re here to support your active team members.

Whenever someone moves on from the organisation, just update their status to inactive in the system—nice and simple! You can still find inactive employee profiles in the Inactive Department, though these are read-only. That means you won’t be able to add new files or receive HR support. Need to bring someone back on board or add a file for a past employee? No worries! You can easily reactivate an employee profile when needed, whether they’re returning for a new chapter or you just want to update their records.

This makes sure they’re once again eligible for HR support and included in your team headcount. Once an employee has finished up employment, it is important to deactivate them in MyHR. Don't worry, their profile isn't lost - it is just moved to an inactive folder. You can still access their profile, they just aren't considered 'active' for HR support from our team.
