Archival material in UW Special Collections is organized first by accession number and then by box number. Accession numbers help archives organize collections by grouping together material that have something in common such as a specific time period. Many large collections have multiple accession numbers, while a smaller collection might have only one accession number. The Earl Robinson papers, for example, is a massive collection with eleven accession numbers. These accession numbers make it easier for people to find archival material from a certain year. After accession numbers, archival material is organized by box number.

Archival material is contained in boxes to ensure that they will be preserved for future generations. Finding aids will typically list the contents of the box so you can figure out what box to view for your research. A finding aid might also list the contents of a folder within a box. A folder in a finding aid is usually listed after a forward slash symbol (/).
